Reception and Administration Officer

Reports to Jack Hartshorn (General Manager)

What are we looking for?

Purpose of Role

To manage the reception at Kingswood Arts, support the administration of the organisation across all departments (with a particular focus on supporting the General Manager)

Responsibilities

Administration
●  Support the General Manager with day to day administration tasks
●  Support with the administration and management of the board of trustees and sub committees
●  Supporting fundraising, finance & senior management with data gathering, entry and analysis
●  Supporting with scheduling, diaries and meetings including minute taking and actions
●  Developing, updating and creating policies as needed
●  Supporting with HR functions as required
●  Supporting with preparing contracts & agreements
●  Research on new opportunities or projects
●  Supporting with safeguarding, consent and permissions across the organisation
●  Supporting with monitoring and evaluation across the programme
●  Organising training
●  Supporting where required with Marketing and audience development

Reception
●  Supervising and managing the Kingswood Reception
●  Managing supplies and stocks of materials and stationary
●  Answering door, taking deliveries
●  Acting as Duty Manager where required - Open and closing building, fire & h&S duties
●  Managing enquiries or request by phone, email and in person
●  Supporting and training other staff to undertake reception duties when you are not in

Qualifications & Experience
●  Experience in a similar role
●  Familiarity with not-for-profits (desired)
●  Familiarity with fundraising (desired)

Capabilities and Characteristics

This person must be extremely organised with a high level of attention to detail. They must be comfortable working across a wide range of projects and be happy to take on different projects at short notice. They must be personable and friendly and offer great customer service. They must be happy working on projects alone and motivated to work on sometimes repetitive and lengthy tasks where required.

What can you expect from the role?

Salary £28,000 (pro rata) - 3 days per week
